A quick guide to Personal Tutor information for Informatics staff

Special circumstances

When a student experiences personal issues outside their control which affects their studies, they can submit a special circumstances form and any supporting evidence. This should be sent to the Student Support Team who will process this and take this forward to the Special Circumstances Committee (SCC), where the circumstances can be deemed valid (or not) and recommendations can be made accordingly. The SCC are bound by the University’s special circumstances policy, the most important sections of which are:

  • Section 2 of the policy outlines examples of circumstances likely to be accepted,
  • Section 6 of the policy outlines evidence requirements, and
  • Sections 10 and 11 of the policy outline the recommendations that can be made at course and programme level.

The recommendations that the SCC can make are limited, as per the above. Other than waiving late penalties or disregarding specific pieces of coursework, the main recommendations are:

  • At Non-Honours level, if at borderline (within 2% of the pass mark) award pass or null-sit if failed.
  • For Year 3 students, if at borderline (within 2% of the pass mark) award pass, null-sit if failed, take account of special circumstances for progression and degree classification.
  • For Years 4, 5 and MSc students, null-sits are exceptional and very rare. In lieu of null-sits, if an exam is missed (for instance), it would more likely be that the course mark would be deemed unreliable and excluded from the classification calculation and to take account of special circumstances for progression and degree classification.

All recommendations also need to be approved by the relevant Board of Examiners. The recommendations are then published by the Student Support Team in the student’s EUCLID Meetings/Notes section, which both student and PT will automatically be notified via email about.

Please note that these procedures are due significant changes in the next academic year (2020/21) which are still to be confirmed by the University’s Service Excellent Programme.
